Your website needs a computer to host it and allow people to access it over the internet. Think of how slow your phone or computer can sometimes be to upload or download a file. So imagine trying to upload or download millions of files at one time. That's why a different kind of computer is needed to host your website.
We use Godaddy for our hosting. Through their plans, we lease commercial computers or a type of computer called a server. We take care of your hosting on our large hosting accounts, gaining a price advantage, so more of your money goes to other parts of your web presence.
As part of our onboarding we take care of building your business's website with a look that represents your brand. We'll install and configure WordPress and a suite of plugins from our Software List to supercharge your web presence and integrate third-party APIs for additional website functionality.
Once the new website meets your satisfaction, we'll begin invoicing you on the 20th of each month according to the plan that you've decided. Line-item pricing lets you customize our services to your goals and gives you back your valuable time. Depending on how much or how little you want to be directly involved in your website, we will work together through consultation and collaboration to build and maintain a website that produces conversions.
Ongoing website maintenance ensures your website stays secure and functioning at 100% technical accuracy. Our monthly service includes one hour of website maintenance, email administration, management and continuous monitoring for your online business listings and social network accounts.
We use tools provided by the big names we work with on your behalf to provide direct performance reporting to our clients but we also use these platforms to discover optimization opportunities, errors, and other technical areas that may need improvement. Google Search Console, Bing Webmaster Tools, and ManageWP provide us a robust set of tools and data so we have a complete technical overview of your website, which we use to guide our monthly maintenance of your website.
The routine aspects of our monthly included in monthly website maintenance includes link monitoring so your customers never click on a broken link, security scanning and monitoring, downtime monitoring, software updates, nightly backups, fielding user suggested edits to your business information on social networks and online business listings, as well as client requested updates to the business information on these platforms.

We're here to answer your questions, solve problems that may arise throughout the month, providing an extra layer of encompassing support for your entire web presence.
How does billing & cancellation work?
Getting your business online involves a but more than just getting a website up and calling it a day. A website does very little for your business by itself. It's the cumulative work across several services and platforms that creates a web presence and regular management to help it grow.
We provide the resources, experience, and consulting you need to take control of your business's web presence, starting at $800.
Our onboarding process begins with helping you set up your account with Godaddy if you don't already have one, or your preferred domain registrar if you have one you would like to use. We'll then help you either transfer your domain from your previous web company or consult with you about deciding on a domain name.
Why do I need a Godaddy account if you're managing everything?
Your domain is the address on the web people will go to find your business. You should never allow anyone but you to own your domain name.
Start with a new WordPress website and a suite of premium and free plugins from our Software List to supercharge your website. We'll build your new website to your satisfaction and complementary to your brand. Built with speed, SEO, and reliability in mind, you can be confident with your new business class website.
Your website will include a contact form and a technical support form, complete with Google reCaptcha spam prevention. We use Google Maps on contact pages, as well as provide clickable phone numbers for click-to-dial functionality and a table displaying hour of operation, standard.

Online Business Listings
Having control of your online business listings on Google, Bing, and Yelp is also essential to your web presence, so we'll help you take ownership of those accounts as well, ensuring accurate information on your business listing so you won't lose money because consumers can't find you.
We'll help you set up your social networks and consult with you on best practices in case you decide to manage your own content. Social engagement is essential to any content marketing strategy. We'll get you up and running with Facebook, Instagram, Twitter, and Pinterest and get your brand connected with the world.
Limitations of Service
Our onboarding services are only for clients who intend to begin monthly no-contact service with us.
Monthly no-contract Web Presence Management starts at $75 per month. We email invoices on the 20th of every month before the month of service to be rendered, due within seven days. Our line-item pricing means you can further customize your invoice according to your individual needs. See the Content & Publishing section of our Services page for pricing information.
Our monthly service covers long-term management of everything covered under Onboarding. Onboarding includes hosting of the website and email, the use of our software licensing, website user management, website software updates, website security scans, nightly website backups retained for thirty days, email management, and updating business information upon request at any time for social networks, business listings, and map listings.
We provide one hour of in-person or video conference consultation time each month, as well as unlimited email and phone support. Please see the Consultation section of "How will Gap Creek Media manage my Web Presence?" for more details.
We want first and foremost to do good business. We feel that our service and value are good business, and you'll want to be with us for years. But if you change your mind, we want the best for our clients and will never hold you back. There are no contracts to sign or long-term obligations. We offer a pay-as-you-go service.
You Own It
You own your web presence, all of your online assets, your media, and content. Once you pay for it, it's yours, you own it, and we will never try to hold your stuff hostage to keep your business. If you ever decide to go another direction, just let us know, and we'll be happy to help you transition everything to your new hosting account or work with your new web team to help get you where you're going. Inform us, we'll work with you to move your stuff wherever you're going for no additional fees, and billing will stop.
The most important part of your web presence is your domain name. As such, we require clients to register their domain(s) to themselves or their business. Domain names are paid for annually and the price can range roughly between $10 to $70 per year.
As part of our onboarding we offer assistance in setting up your Godaddy account, including walking you through the purchase of your domain name(s) and ensuring your information for the account and domain registration is done properly and thoroughly. We only offer domain registration assistance Godaddy.
Even if you don't use our services and you're reading this, do not allow another person or entity to own your domain name.
What are my responsibilities?
Websites that limit software use to our Software List do not retain any personal information, do not offer or accept open registration, and contact form data is emailed to the client's inbox but is not retained or transmitted to any third-party, therefore we do not engage in practices that create liability around issues of privacy.
Furthermore, we provide the required point of contact on each website that is required by law for website visitors to request any personal information collected while visiting the website to be presented to the individual or permanently deleted. We provide the necessary point of contact on a Technical Support page on each website that contains a contact form that emails the details to our inbox, which we will then promptly report to you in addition to taking the necessary steps to comply with the request.
Owning a website is not like signing up for a phone account, pay, and it magically happens. Even when you pay for managed services, you have to be involved in the operating of your website. What you're getting with managed services and consultation is skipping the years of education it takes to master this industry and paying to jump to the front of the line.
For you to benefit from the services we offer, we work directly with you to bring the knowledge of your products and services together with our web development and search engine optimization services, to get your brand in front of customers when they're ready to spend money on what you offer.
We start training our clients on how the web works and how we manage it from day one. This FAQ page is part of it, but meeting regularly with you or your staff is the most significant part of it. The degree of training we need to offer depends significantly on how much or how little you want to pay us to do. You can spend with us for all your new content creation, or you can have your store manager doing the blogging.
Regular communication and collaboration are key to building a strong web presence.
We provide one free branded email address for our monthly clients. Branded meaning that we base it on your domain name. A branded email keeps your personal email from being exposed to everyone on the internet. It also lends professionalism and consistency to your brand.
We recommend using your personal email address as a point of contact for your personal information in your Godaddy account. Facebook and Instagram business pages can be owned through a business dashboard or by a personal Facebook account, at your discretion. All other accounts relating to your business, you should be using your branded email.
The contact form on your website and other communications will go to your branded email account. You must check your email regularly and clear your junk and trash folders. Don't miss sales because you forgot to check your email, and the customer moved on.
Email accounts are hosted on Rackspace. Additional email accounts are billed at our cost which is currently $2.40 per account for Rackspace Email Basic, and $3.99 per account for Rackspace Email Plus, billed monthly. These charges will show up on your recurring monthly invoice.
If you require ten or more email addresses and would like to set up your own Rackspace account, we can help you integrate that with your domain as well so you can manage your email from your offices.
We can setup your Office 365 through Rackspace, Office 365 through Godaddy, or your branded email option on Office 365 Home to work with your domain but we do not manage or offer consulting for the Office 365 platform. If you are considering using Office 365 Professional for your office productivity, we strongly recommend retaining the services of a local IT company that specializes in Microsoft products, as a substitute or in addition to our services.
We can set up your G Suite to work with your domain but we do not manage or offer to consult for the G Suite platform. If you are considering using G Suite for your office productivity, we strongly recommend retaining the services of a local IT company that specializes in Google Cloud products, as a substitute or in addition to our services.
You will need to provide us an Outlook email address so we can grant you access to the tools we use on the Microsoft platform.

Your business phone number is required for setting up business listings and for structured data on your website for your local business info, something beneficial for local businesses on search engines. Providing a phone number is a prerequisite to launching your website if you operate a local business.
Using your cell phone number or home number is not recommended. Sharing this private information can lead to a lot of problems, so it's best to stop it before it starts. We recommend using Godaddy Smart Line to keep your personal phone numbers private. If applicable, you may instead want to explore using Google Voice as part of your G Suite subscription or Skype for business as part of your Office 365 subscription.
Have you ever thought of a website as an electronic document? It is, but it's a document with the power of electronics, like images, audio, and video. A website is pretty dull without these media files. The text is only half the picture.
Media files are essential if you are serious about improving conversions and search engine optimization. Images and videos help keep visitor interest in the content of the website, and having robust quality content is also what the search engines like on a website.
A Picture Is Worth A Thousand Words
We will alert you to the need for images during meetings and discussions about blogging and creating new pages. You or representatives of your business must provide us with pictures and other media files to match the content we are producing, or we are severely limited in the results we can expect from the content.
We will not upload or manage images that were not produced by you, an employee, or a representative of your business without written consent and uploading a PDF with the image as proof of licensing to use the copy. We will also remove any image posted by you, an employee, or representatives of your business if we feel there is any legal liability involved with the photos. Don't steal pictures from the internet to use on your website.
Owning your domain name means you have ownership of your brand. Your domain name is the web address used to view your website, like gapcreekmedia.com is our domain name. We purchased this domain name several years ago through Godaddy and we pay a renewal fee every year to keep it registered to us. For more information about domain names, Godaddy has a video on YouTube that answers the question, What Is The Difference Between A Domain Name And A Website?
Some web companies out there register client domain names under their name. We believe this practice leaves business owners vulnerable to predatory practices in the web industries. To distance ourselves from this practice and because we do not hold clients by contract, we ensure our clients keep their domain name in an account that they control.
If you have not already done so before working with us, we will walk you through purchasing your domain name with Godaddy. If someone else already owns your domain name, we will work with you to transfer that domain into a Godaddy account you control.
Once you have control of your domain name, it will be your responsibility to pay the renewals each year, or whenever it comes due if you choose to pay for more than one year at a time. It is imperative that you don't lose your user and password information, and keep your account information on Godaddy up to date.
We prefer Godaddy as a domain registrar but we will work with the registrar of your choosing.
Clients that choose to use software that is not on our Software List are responsible for any cost resulting from the use of that software, including monthly or annual licensing fees, and will not be covered by what you pay us. Please be sure to keep track of the user name and password for your product accounts. We do not retain user names and passwords for third-party software or services relating to the website.
We reserve the right to refuse installation of any theme, plugin, add-on, code or script as we see fit and for any reason. We also reserve the right to refuse to upload or download any file as we see fit and for any reason. This policy is in place to ensure compliance with all applicable laws, to protect us from liability, to ensure only well-maintained software is used, to provide a standard platform that we can teach employees and representatives to use, and to produce reliable results.
Imagine losing all your business records in an instant. Missing information is a worst-case scenario for a business, and it can happen if you don't take precautions. Clients are responsible for creating and maintaining backups of your E-Commerce website.We recommend Jetpack Professional for real-time backups. We do not provide insurance or guarantee against the potential loss of your E-Commerce records or data.
We recommend using the native WooCommerce payment gateways maintained by WooCommerce for continuity and reliability. You will need to set up, manage, and maintain your account with your payment processor. Though we do configure the software to connect your E-Commerce website to your payment processor, we do not manage the payment services or accounts.
How can I measure performance?
Do not search for a keyword on your laptop, desktop, or phone to see where you rank, then call us and ask us why you aren't number one for that keyword. However, you also don't have to take our word for it.
Google, Bing, and nearly every other platform your brand is represented on provides ACTUAL DATA ABOUT YOUR PERFORMANCE. Please use the information provided on this page to accurately assess your brand's performance on each platform or service. Your website utilizes WP-Statistics to collect website visitor information. There are a variety of reasons to collect visitor information, such as measuring the performance of advertising campaigns or search engine optimization. We use this information to measure our progress toward the goals we set with our clients.
View Your Website's Visitor Activity
You can view the website visitor data by signing in to your website and hovering over or navigating to Statistics and clicking on whichever segment you want to see. Please feel free to contact us if you need help signing in.
We plan to roll out email reporting by June of 2020 to accompany monthly reports from Google Search, Google My Business, and website management reports provided by Godaddy Pro tools. These reports will include updates, security scans, downtime, broken links detected, and SEO reporting, all in your inbox each month.
Data Collection & Privacy Concerns
Cookies are used for functionality when someone attempts to sign in to the website or submit a form. Cookies are not used to collect personal information and do not retain information beyond the life of the cookie.
The current configuration for retaining visitor data is for two years to better understand long-term trends. Please let us know if you'd like a different duration of data retention.
Visitor Data Collection And Sharing For E-Commerce Or Online Advertising Analytics
Google, Bing, and Yelp provide tools for viewing your website's performance on each of their respective platforms. You can access any of the insights and analytics on these platforms by logging in to these services. Just follow the links under each respective section. Please feel free to contact us if you need assistance.
Google and Bing both have Business listings like Yelp. Google and Bing provide information about your website in their search engines, maps, AMP pages, image searches, and voice-assisted technologies. Google and Bing also differ from Yelp in that they report search engine, business listing, and advertising performance separately on different websites.
We do not provide management or consultation for PPC advertising.
Google Search Console provides organic search engine performance reports but it also reports website errors, design and layout issues, metadata analysis, and more. You can learn how to use the Google Search Console to analyze performance in a meaningful way by watching our tutorial, Understanding Google Search Console Performance. Please see the Website Visitors & Statistics section for more information about requirements if you intend to implement Google Analytics.
Google My Business provides business listing performance reporting, the ability to respond to reviews, accept bookings or reservations right from the listing, list products and services, messaging with customers through the My Business App, visibility on Google Assistant, and Google Ads integration.

Online Advertising Analytics: Sharing Website Visitor Data With Google
Bing Webmaster Tools provides organic search engine performance. Bing's new Webmaster Tools is still in Beta at this time and adding a sitemap is the only real functionality outside of statistical reporting.
Bing Places provides business listing performance reporting but not much else right now. We patiently await a more capable Bing Places.

Online Advertising Analytics: Sharing Website Visitor Data With Microsoft
Yelp is an online business listing platform that offers tools for listing your business. Yelp offers basic listing features for free, extended functionality as part of their premium services, and advertising opportunities. You can view your business's performance on Yelp by navigating to the Activity page of your account.
Each month you will receive reports in your email from your website, from us, and from Google. Other services and platforms also send out emails about your performance, but the timing of the reports isn't consistent enough for us to mention in this section.

Each month you will receive a summary report that is generated by your website using the methods described and email the report to the email we have on file for you. Reports From Us
You will receive a report from us each month about the technical work done on your website, such as information about updates performed, results of security scans, backups created, and load time performance. This report is all about the technical health of your website and will be sent to the email we have on file for you.
Reports from Google
Google sends monthly report for both Search Console and My Business, which we cover in the above section, Search Engines & Business Listings. These reports cover placements in different Google products so if you aren't sure which one is which, check out our tutorial, Understanding Google Search Console Performance. Each of these reports will be a summary of the full reports and will be sent to the Gmail account you have associated with each Google product.
How do I sign in to my accounts?
Go to https://godaddy.com and click the Sign In button located in the top right side of the website. There will be a drop-down panel with another Sign In button which you will need to click on. On the Sign In page you will need to enter your user name or customer number and password. If you've set up two-step authentication, you will need to enter it at this point to continue signing in.
If you have not set up two-step authentication, I strongly recommend that you do. It would be reckless to risk your entire business for not setting up this security feature. You can find detailed information about Account Management at Godaddy.
You may never need to sign in to your website, or you may need to sign in to it many times a day. No matter how often, it's important that you know how to access your website. We have strict rules regarding security and we require clients to set up two-factor authentication for signing in to their websites. It would be negligent of us not to use and enforce the use of this layer of security.
You can sign in to your website by going to the home page of your website, then appending /wp-admin to the end of the web address. like https://gapcreekmedia.com/wp-admin will take you to the sign in page for our website. You can sign in at https://wordpress.com, which is not the same as https://wordpress.org. However, if you want to get involved in this open source platform you should have an account with both. Why do I need a wordpress.com account?
We will require you to set up a wordpress.com account if you have an E-Commerce website or E-Commerce software installed on your website. WordPress's native E-Commerce platform is WooCommerce and requires a wordpress.com account to sign in. You will also likely be setting up Jetpack for real-time backups and added security, which also requires a wordpress.com account to sign in.
WooCommerce enables the collection and transmission of financial and personal information that is strictly between you and your customers. Both WooCommerce and Jetpack collect and retain visitor information which you the website owner will be responsible for. By linking these services with your wordpress,com account this data will be kept between you and your customers and provide you ownership over data that is crucial to your business.

You can sign in to Microsoft or Bing with your Microsoft account information, including Bing Webmaster tools and Bing Places. You can find more information about how to sign in on support.mocrosoft.com. Again, we recommend setting up two-step authentication to secure your Microsoft account.
Personal Microsoft accounts or Office 365 accounts will work for this although as of this time we do not know of a way to transfer Bing Places listings to other accounts so use an account you will want to keep indefinitely.
You can sign in to Yelp for business by going to https://biz.yelp.com. Unfortunately we are unaware of any two-factor authentication methods available on the Yelp platform. We hope to find this option on Yelp very soon.
